Privacy policy

How I collect, use and look after your personal information. Last updated October 2026.

Who I am

Psych 4 Sport is run by Mike Vanes, a Trainee Sport and Exercise Psychologist based in Cornwall. I'm responsible for any personal information you share through this website or when you work with me. You can contact me about privacy at hello@psych4sport.co.uk.

What I collect

  • Contact form: your name, email, phone number (if you give it), who you are (athlete, parent, coach and so on), your sport and your message.
  • Booking a free chat: the name, email and any notes you enter when you book through my Google Calendar booking page.
  • Email and social media: anything you send me directly.
  • If we work together: session notes, questionnaires, self-ratings and anything you choose to share from your journal or check-in app. Some of this may include information about your health and wellbeing, which is treated as special category data and handled with extra care.

How I use it

I use your information to reply to your enquiry, arrange sessions, provide and review my support, keep the records my professional training requires, and meet my legal and safeguarding duties. I never sell your information or use it for advertising.

My lawful basis

I reply to enquiries on the basis of your consent and my legitimate interest in responding to you. When we work together, I rely on our agreement to provide support. For health-related information, I rely on your explicit consent and on the conditions that allow health and care professionals to keep records. Safeguarding concerns may be shared where the law requires or allows it.

Under-18s

If an athlete is under 18, I speak with a parent or guardian at the start and ask for their agreement before any work begins. Enquiries about under-18s should come from, or with the agreement of, a parent or guardian.

Who else handles your information

I use a small number of trusted services to run the practice:

  • Netlify hosts this website and receives contact form messages.
  • Google Workspace provides my email and booking calendar.
  • Google Fonts supplies the fonts on this site, so your browser connects to Google when pages load.

Some of these providers may store data outside the UK, under safeguards approved by UK data protection law.

Confidentiality

What you share in sessions stays confidential, except where there's a concern about your safety or someone else's. My work is supervised as part of my accreditation training, and I may discuss anonymised case details with my supervisor. For team work, we agree at the start what (if anything) is shared with coaches, and names are never shared without your agreement.

The journal and check-in app

Entries in the check-in app are stored on your own phone, not sent to me. You choose what to share in our sessions.

How long I keep it

Enquiries that don't lead to working together are deleted within 12 months. Client records are kept for as long as professional and legal guidance requires, then securely deleted.

Cookies

This site doesn't use tracking or advertising cookies.

Your rights

You can ask to see the information I hold about you, have it corrected or deleted, restrict or object to how it's used, or withdraw your consent at any time. Email hello@psych4sport.co.uk and I'll respond within one month.

If you're unhappy with how I've handled your information, please tell me first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
